Job Description / Duties

This position delivers the front-line contact for all Education programs and will deliver exceptional service to CAIRP’s current and potential students and other stakeholders (sponsors, education volunteers, etc.). This position requires a high level of accuracy and attention to detail and reports to the Assistant Director, Education Programs and Registrar. Fluency in English and French is required.

MAIN DUTIES & RESPONSIBILITIES

The Coordinator, Education Programs & Assistant Registrar is responsible for:
Coordinating the operation of all CAIRP Education Programs including inquiries, student intake, student support tutorials/activities, sponsor and volunteers support including:
• First point of contact for students/candidates and sponsors, providing support to candidates when needed.
• Responds to general inquiries for all programs.
• Reviews applications for admission to determine eligibility criteria. Prepares exemption request packages for review by Registrar. Tracks enrolments/exemption requests for annual reporting
• Creates and distributes student/candidate and member surveys and prepares analysis of results for review by the Assistant Director
• Creates and manages all D2L course sites and is vendor point of contact.
• Performs data analysis, statistical reports for courses and exams, student enrollment, audit reports as required.
• Responsible for accurate database reports (Exware) for all courses in the department.
• Responsible for maintenance and monitoring of course discussion boards
• Maintains all course site administration manuals (including D2L and ExamSoft) documenting all processes such as student upload, course creation, uploading content, downloading, and reporting results.
• Create and support marketing/recruitment efforts for the IA, PCIC and Introduction to Insolvency courses.
• Updating and maintaining documentation to reflect changes in process and procedures. This includes information packages, registration procedures, exam instructions, website, etc.
• Troubleshooting technical issues and testing new systems as needed
• Other duties as assigned


Working closely with the Assistant Director, delivers all examinations by:
• Verifies student compliance/qualifications for exams i.e., coordinates with sponsors their deliverables, ensures assignment completion, experience hours, enters assignments results, exam results into database.
• Coordinates program fees and event registrations with CAIRP’s database supplier.
• Organizes the logistics and supports the education program events; in-person workshop, online webinars, assessment centers, appeal centers, networking meet and greets, board and committee meetings.
• Coordinates student exam preparation; prepares, and distributes candidate exam information packages, appeal documentation.
• Maintains student records in CAIRP database.
• Prepares selected exams for review by Assistant Director.

Support the Assistant Director with Committee Secretariat duties
• Assist with agenda development
• Prepare draft Committee minutes as required

Cover for Assistant Director during vacations and provide additional support as required.

Qualifications / Required Skills

EDUCATION AND EXPERIENCE

Academic background and experience
• University or college degree in related field
• At least 3-5 years of experience in a professional administrator/communications role
• Experience in a non-profit organization or association working with member volunteers would be beneficial
• A combination of education, training and experience may be deemed equivalent

Additional Information

WORKING CONDITIONS

• CAIRP Head Office is in Toronto, Ontario.
• We offer a hybrid working model – a positive, balanced work environment. Employees spend most of their time working remotely with some in-office days.
• CAIRP will consider applicants from across Canada interested in conducting this work remotely.
• Any employees based outside of Toronto will be expected to travel for in-person meetings or as the job demands.
• From time to time, it could be required to work outside of normal business hours, particularly when working with members.
